This notice describes how personal data are processed for people who visit the ai-now.it website, write to the AI NOW organisers or subscribe to the newsletter, pursuant to Articles 13 and 14 of Regulation (EU) 2016/679 (GDPR).
Who processes the data
AI NOW events are organised and managed by Netlab Srl (VAT no. 06987700637) and Nowtech Srl (VAT no. 07669731213).
Data protection officer in charge: Marcello Cama, marcello.cama@ai-now.it. Requests and questions about the processing of personal data can be sent to this address.
What data
Browsing data. As with any website, the server automatically records certain technical information: IP address, date and time of the request, page requested, browser type and operating system. This information is used solely to operate the site and to protect it against abuse; it is not used to identify or profile visitors.
Data you send us through the contact form. Name, email, profile and, if you provide them, company, mobile number and message text. The form records them in an archive managed by Netlab on servers in the European Union and forwards them to the organisers' mailbox that handles requests.
Newsletter subscription. First name, last name, email and, if you provide them, company, profile and sectors of interest, together with the consents you choose and the date, time, IP address and browser type used to subscribe. The latter serve to prove when and how you gave your consent.
Purposes and legal basis
The data you send are used to respond to your request and, if you so request, to provide you with information on attendance, exhibiting, sponsorship, patronage and press accreditation. The legal basis is the performance of pre-contractual measures taken at your request (Art. 6(1)(b) GDPR). Browsing data are processed on the basis of the legitimate interest in ensuring the security and proper functioning of the site (Art. 6(1)(f) GDPR).
The newsletter is based on your consent (Art. 6.1.a GDPR), collected through three separate choices: the AI NOW newsletter, which includes the ticketing opening notice and event news and is the only consent required to subscribe; communications from AI NOW sponsors and partners, which are still sent by the organisers without sharing your data with sponsors; the use of the profile and sectors you indicate to send you more relevant communications. After the form you receive a confirmation email: the subscription is valid only if you click the link it contains (double opt-in). You can withdraw any consent at any time through the link at the bottom of every email, without affecting processing already carried out.
We do not send promotional communications without your consent and we do not transfer data to third parties for commercial purposes.
Retention period
Data sent through the contact form are kept for as long as necessary to handle the request and any resulting relationship. Unconfirmed newsletter subscriptions are deleted automatically after 30 days; confirmed ones remain until you unsubscribe. The consent log is kept for as long as you remain subscribed and, after you unsubscribe, for the time needed to demonstrate that processing was lawful. Server technical logs are kept for a limited period and then deleted.
Recipients of the data
Data are processed by the organisers' staff, at Netlab and Nowtech, in charge of handling requests and communications. The archive, the subscription service and the newsletter sending platform are managed by Netlab on its own servers in the European Union. Technical hosting and email providers, operating with servers in the European Union, may access them only as far as necessary for the service. Data are not disclosed.
Your rights
You can at any time request access to your data, rectification, erasure, restriction of processing and portability, and object to processing (Articles 15–22 GDPR), by writing to marcello.cama@ai-now.it. For the newsletter you can also use the unsubscribe link in every email. If you believe that the processing infringes the regulation, you can lodge a complaint with the Italian Data Protection Authority (garanteprivacy.it).
Accessibility widget
To improve accessibility, the site uses the Includo widget by Coop Delante. When the page opens, the browser downloads it from the coopdelante.it servers, which thereby receive the technical connection data (IP address, browser, website visited) needed to deliver the service and verify its licence. If you use the translation feature, the page text is processed by Google's translation service via GTranslate, which may also process data outside the European Union. The preferences you select in the widget are stored only in your browser.
MY AI NOW reserved area
To enter the my.ai-now.it reserved area you only need your email address: you receive a sign-in link valid for one hour. The account is managed by Netlab's authentication system, shared with other Netlab services, on servers in the European Union. In the area you can enter your profile details and, if you wish, those needed for ECM credits (profession, professional order, registration number, Italian tax code) and for invoicing; exhibitors fill in their company's public page, which appears on the website after staff approval. The legal basis is the performance of measures you request (Art. 6.1.b GDPR). The data are visible to you and to the Netlab and Nowtech staff in charge of managing the event, and are kept for as long as you keep the account.
Cookies
The ai-now.it website does not use cookies. The my.ai-now.it reserved area uses a single technical session cookie, needed to stay signed in, valid for 30 days or until you sign out. Details are in the cookie policy.
